How to Plan Hardware Lifecycle Management with Efficiency In Mind

“If it ain’t broke, don’t fix it.” If your business is still living by this mantra, then you’re far behind your competition, who have likely already embraced the concept of proactive > reactive IT. You aren’t going to get ahead when you’re dealing with hardware that’s aging before your eyes, and the increased costs and frustrations caused will impact your business in ways you can’t imagine.

You can combat this with effective hardware lifecycle management; here’s how to do it without breaking your brain (and your budget) in the process.

Proactive Always Beats Out Reactive

This outcome is made possible thanks to hardware lifecycle management, which is broadly defined as the process of managing an IT asset over its entire practical lifespan and utility. This typically takes between three and four years, but this cycle could accelerate depending on software compatibility and hardware demand.

Consider this example where you found a great deal on desktop computers. It’s September 2025, and these computers run Windows 10, not Windows 11. The problem is that these computers don’t have the specs to run Windows 11, and you’ll have to buy all new hardware in just a month when Windows 10 kicks the bucket. The other alternative is paying for extended support for Windows 10, but again, you’re just prolonging the inevitable.

The point illustrated is that investments in hardware need to be planned out well in advance so you don’t make silly mistakes like this. We recommend you build out a refresh schedule and include replacement costs so you’re never caught unawares.

Retire Your Hardware With Dignity

While hardware refreshes help your business improve productivity and efficiency, they also leave you with “useless” machines that are basically expensive paperweights (or door stoppers, whichever you prefer). What do you do with this tech?

For starters, you can’t ignore it and keep it around. Not only is this wasteful, but it can also create security issues if it’s still online and operational. You need to destroy the data found on these devices, then dispose of them in a way that is favorable for the environment.
